Customer Case #2

Customer Case #2

Maintenance purchases, connected to the company’s accounting system.

Maintenance buys through a separate CMMS; the company accounts for those purchases in BC. Our integration recreates the received POs in BC and attaches vendor invoices from an inbox. Staff review exceptions, with no second supplier order.

≈ $16,500

Annual labor value of routine PO entry automated

27.5 hours / month

Of routine entry automated at 5 POs per working day.
Staff handle processing exceptions.

Based on customer-reported estimates: 5 POs/day × 15 minutes × 22 assumed working days/month × 12 months = 330 hours, valued at an assumed $50/hour. Before exception handling and implementation costs; not guaranteed payroll savings or net ROI. Additional invoice-retrieval savings are excluded.

View case details: Maintenance purchasing
Starting point
Maintenance managed purchasing in a separate maintenance management system (CMMS), while the company used Business Central as its primary ERP and accounting system. The same purchases had to be manually recreated in BC.
What we built
Completed, fully received maintenance POs are automatically recreated in BC for accounting. Vendor invoices are retrieved from an inbox and attached to the corresponding BC record. No second supplier order is placed.
Checks and alerts
Supplier, account, department, and cost details are validated, totals are checked, and duplicate imports are prevented. Staff review processing exceptions, with logged errors and configurable email notifications when a transfer needs attention.
Accounting handoff
The BC record retains the original CMMS PO number. Accounts payable reviews the record and handles supplier invoice processing and posting.
